Requesting Digital Images

Policy:

Carnegie Mellon University faculty, staff and students may request digital images as additions to the current online collection. Images must fall within general applicability of subject matter for use in Carnegie Mellon University classroom teaching. When possible,Visual Resources will acquire images through outside vendors. Images, unavailable commercially, will be created in-house. The requester is responsible for providing the material to be reproduced as well as completing the digital image request form (click here for additional forms). All necessary documentation must be provided along with the images.

Carnegie Mellon University faculty or staff members may request up to 100 new digital images per course, per semester. CMU students assigned to give a presentation in a Carnegie Mellon University credit course may request production of up to 25 digital images.

Originals must be of adequate quality for reproduction and fall within the general applicability of subject matter for use in Carnegie Mellon University courses. There is no charge to faculty, staff or students for digital images that become the property of the Visual Resources Collection. The VRC will not process requests for material considered unsuitable for inclusion in the Collection or material needed for lectures outside Carnegie Mellon University credit courses.

Digital image requests will be made accessible via the Digital Image Database. Images needed prior to their inclusion in the database may be retrieved via CD-ROM (provided by the patron) or via FTP. Slides to be digitized will be charged out to the requester accordingly.

Procedure:

Check the DID to ensure that the image(s) are not already in the collection. Please see a staff member for assistance if you need assistance to search the online Digital Image Database.

Be sure that the images you have selected to be reproduced are clearly marked or identified and are of adequate quality for reproduction. Proper descriptive information (metadata) must be provided for each image.

Leave the images you have selected, along with a completed digital image request form, with Visual Resources staff (also known as Music Listening, or Slide/Audio Collection, Hunt Library 411).

Depending on the number of orders in queue, and the size of the order itself, requests may take up to 14 working days. The requester will be notified via email once their images are available for pick-up.
